At RealWell we take your privacy extremely seriously, whether you are browsing the information on www.realwell.co.uk, completing a ‘contact’ online form, or supplying personal information with regard to a health coaching programme that you have engaged me to provide.

The type of information you provide
You may provide information such as your full name, email address, postal address, personal health information, doctor’s details, your families information such as name and age of children.
How the information is used:
Any personal information given by you is used only in direct relation to the services you have requested, and therefore the legal basis of or holding of your personal data is for legitimate interest. The information you provide is used in the following ways:
Emailing of newsletters or other marketing materials where you have opted in to receive such information
Responding to a request for contact submitted by you
Provision of health coaching services
We act as a data controller for use of your personal data to provide direct health coaching. We also act as a controller and processor in regard to the processing of your data from third parties such as other healthcare providers. We undertake at all times to protect your personal data, including any health and contact details, in a manner which is consistent with our duty of professional confidence and the requirements of the General Data Protection Regulation (GDPR) concerning data protection.
The legal basis for processing your data will usually be one of the following:
On the basis of your explicit consent.
On the basis that processing is necessary for the performance of our contract with you or in order to take steps prior to entering into contract with you.
On the basis that processing is necessary for the purposes of legitimate interests pursued by us or a third party which are not overridden by your interests or fundamental rights and freedoms.
We may use your personal data where there is an overriding public interest in using the information e.g. in order to safeguard an individual, or to prevent a serious crime. Also, where there is a legal requirement such as a formal court order.
How your data is stored:
We will also take reasonable security measures to protect your personal data storage.
This includes using file encryption, password protected laptop, and paper shredding.
Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.
How long your data is stored for:
Personal data held on you for the purposes of marketing will continue to be held until such times as you ‘opt out’.
Personal data held on you for the purposes of coaching, will be held for the duration of the coaching programme, and then for a period of six months after to allow time for the resolution of any potential disputes or complaints, or to allow you time to decide whether you wish to carry on coaching beyond the originally agreed period.
Personal data held on you for the purposes of responding to a contact request will be held until your query has been addressed and closed.
When the information is no longer needed it will be deleted from computers and paper based information will be shredded.
Who has access to your information?
RealWell will not sell your information to third parties.
We may transfer (or otherwise make available) your information to third party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf. For example, to host our Website, or to send you mailings. However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service.
We will keep information about you confidential. We will only disclose your information with other third parties with your express consent with the exception of the following categories of third parties:
Any contractors and advisors that provide a service to us or act as our agents on the understanding that they keep the information confidential
Anyone to whom we may transfer our rights and duties under any agreement we have with you
Any legal or crime prevention agencies and/or to satisfy any regulatory request
We will seek your express consent before sharing your information with your GP or other healthcare providers. However if we believe that your life is in danger then we may pass your information onto an appropriate authority (such as the police, social services in the case of a child or vulnerable adult, or GP in case of self-harm) using the legal basis of vital interests.
YOUR CHOICES
You have a choice about whether or not you wish to receive information from us. If you do not want to receive direct marketing communications from us about our exciting products and services, then please do not tick the relevant box situated on the form on which we collect your information.
If you do not wish to receive our mailings, you can unsubscribe at any time by clicking on the “unsubscribe” link included on all communications.
We will not contact you for marketing purposes by email, phone or text message unless you have given your prior consent. We will not contact you for marketing purposes by post if you have indicated that you do not wish to be contacted. YOUR RIGHTS AND HOW YOU CAN ACCESS AND UPDATE YOUR INFORMATION
Every individual has the right to see, amend, delete or have a copy, of data held that can identify you, with some exceptions. You do not need to give a reason to see your data.
If you want to access your data you must make a subject access request in writing to realwellbyeve@gmail.com. Under special circumstances, some information may be withheld. We shall respond within 20 working days from the point of receiving the request and all necessary information from you. Our response will include the details of the personal data we hold on you including:

Persons or entities with whom we are sharing the information
You have the right, subject to exemptions, to ask to:

Have your information corrected or updated where it is no longer accurate

We do not carry out any automated processing, which may lead to automated decision based on your personal data.
